How to Create Custom Reports

Hi everyone and welcome back to the next installment of our stratus-io feature highlights.

Today we’re going to address reporting functionality and how you can configure your attendance reports to get exactly the data you need.

We’ll also cover how to save your report configurations and subscribe to those reports so that you automatically receive them at a regular interval. 

In order to generate reports, it’s important that you have already collected the attendance data you’re looking to analyze. By setting up events to meet your needs, like in our last stratus-io video, we ensure that we’ve got all of the information we want.

We’ll start by going to the time tracking reports section that allows me to see all of my attendance  data. From here, I’m able to use the filters to show only the data that I am wanting to look at. Let’s say I want to see all of Matt’s scan data. I simply type in Matt’s name, hit apply, and instantly you can see now my report shows only the history of scans that are for Matt.

But what if you want to see everyone who has scanned in or out for any particular day? We can use the check-in or checkout date filter to apply the proper date parameters for our data. 

So, now you see a little bit about how we can apply filters to see the data we want, but how do we actually receive that data? Well, there are two main ways to do that.

The first is–once you set your filters, you can scroll to the bottom and click “Get Results as Excel” which will export an excel file of the data you’re looking at.

The other way to handle is to save that report configuration filters and subscribe to it. You may have noticed the save button below the filters. If I press save, I can name my saved report, select it from a dropdown, and click the edit icon next to the report once it is selected. Here I can see the filters included in this report and select to receive this report automatically on a daily, weekly, or monthly basis.

Once subscribed, you’ll get an email at your selected interval with the report containing the data you configured. Date ranges are dynamic so choosing a date of “Today” will update daily.
